Job Description
As a Client Services Specialist, you will play a crucial role in supporting our advisors in their daily operations. You will be the face of Vista to our clients, helping to shape and uphold our unique brand from within. Working closely with our lead advisors, you will contribute to the Vista Way of delivering exceptional client service and advisor support. Your role will primarily involve client-driven tasks, along with additional operational and administrative duties.
Responsibilities
- Maintain rapport with clients as a trusted liaison between the client and their Advisor.
- Work directly with third-party Custodians and Advisors to support client needs.
- Assist with client account onboarding and information maintenance, including coordinating account transfers and confirming cost basis information for incoming assets.
- Populate and maintain systems data and client files, and coordinate client paperwork.
- Handle account administration tasks such as money movements, payments on taxes and insurance premiums, verify client account cash balances, and generate and review monthly available cash reports.
- Implement Advisor investment recommendations via trading through our Financial Custodial System (Fidelity).
- Manage alternative investment subscriptions/redemptions and Limited Partnership agreements.
- Coordinate weekly client meeting schedules and supporting advisors in preparation for client meetings.
- Perform administrative duties such as handling inbound and outbound mail, reconciling monthly expense reports, scheduling coordination, marketing and branding assistance as needed, and other general support as requested.

Qualifications
- Two or more years of experience relevant to the responsibilities listed above (experience with Ultra High Net Worth individuals is a plus).
- Ability to handle confidential information with exceptional discretion.
- Ease with technology.
- Strong numerical and analytical abilities.
- Proficiency in Microsoft Office Applications.
- Experience with Adobe Cloud for PDF generation and e-signature is preferred.
- Knowledge of financial custodial systems (Fidelity knowledge is a plus).
- Series license or other financial designation a plus.

- Financial Analysis and Research:

- Client Support:

- Portfolio Management Support:
- Monitor and analyze the performance of client portfolios.

- Assist in rebalancing portfolios and ensuring they are aligned with client risk profiles and goals.
- Serve as secretary for bi-weekly investment committee meetings.
- Compliance and Reporting:
- Ensure compliance with internal policies, industry regulations, and legal requirements.
- Maintain accurate records of client accounts, transactions, and documentation.
- Assist in preparing regulatory filings and client disclosures.
- Market Research & Reporting:
- Stay updated on global economic developments, market conditions, and new financial products.
- Prepare market commentary, investment memos, and performance reports for internal and external use.
- Collaborate on strategic initiatives, such as new product research and development.
- Administrative Support:
- Coordinate and prepare for client meetings, including generating financial reports and presentations.
- Assist in onboarding new clients, including data gathering, documentation, and account setup.
- Become expert with CRM system, trading tools, and data aggregation portal.

Qualifications
- Bachelor's degree in Finance, Economics, Accounting, or a related field.
- 0-3 years of experience in financial services, preferably in wealth management or investment advisory.
- Strong analytical and quantitative skills, with the ability to interpret financial data.
- Proficiency in financial analysis software, Microsoft Excel, Microsoft PowerPoint, Bloomberg, and portfolio management tools.
- Excellent written and verbal communication skills.
- Strong attention to detail and the ability to manage multiple tasks simultaneously.
- FINRA Series 65 or 7 with a 66 license (or the ability to obtain one)
- Progress toward CFA, CFP, or related certifications is preferred.
